The Department of Public Safety is responsible for maintaining the key system in all College buildings. To obtain a key for any room, a key request form must be filled out electronically by the requester. The request must then be approved by the Chairperson or Director in charge of that Department space also via the electronic key request (EKR) http://inside.jjay.cuny.edu/apps/key/index.php?uid.
Once approved, the key(s) requested are ready for pickup three (3) business days from date of approval. If the key is not picked up within thirty (30) days from submission of the request, the request will be voided and a new key request must be submitted. Each Department Chair or Director may be issued one (1) master key per Department. Keys can be picked up in the Department of Public Safety, Room L2.61, during the following hours of operation for the office:
Monday - Thursday: 8:00 a.m. – 11:00 p.m.
Fridays: 8:00 a.m. – 9:00 p.m.
There is no deposit or fee for keys issued for the first time; however, there is a non-refundable $10.00 fee for duplicate keys. Lost or stolen keys must be reported immediately to the Department of Public Safety.
Follow these procedures when requesting duplicate keys:
- Put in a request to Public Safety for the duplicate keys. Come to the Public Safety office to obtain a receipt for processing the duplicate key request.
- Make the fee payment in person to the Bursar’s Office, L.70 NB, for the duplicate keys. The Bursar’s office is open Monday through Thursday from 9:00am to 4:30pm and Fridays from 9:00am to 1:00pm. Payment is accepted in person in the form of cash, check, or money order. Credit cards are not accepted. If you are writing a check, please make it payable to “John Jay College.” Please state what the payment is for. Once payment has been made, you will receive a receipt with a Bursar stamp from the Bursar office.
- Please bring this receipt to the Public Safety office. The duplicate keys will not be issued without this receipt.
Keys are not transferable and must be returned to the Department of Public Safety upon separation of employment or relocation to a different office space.
All requests for lock repairs or replacements can be e-mailed to the Department of Public Safety at firstname.lastname@example.org. Requests to change locks must be submitted to and approved by one of the Directors of the Department of Public Safety. In the event a lock must be changed due to the loss of a key(s), the Department where the lock must be replaced will be charged $50.00.
The term "key run" refers to Public Safety personnel responding to a request to unlock or lock a door on campus for an authorized person. A key run can be requested by calling the Department of Public Safety at extension 8524, visiting the Public Safety desk in the building the key run is requested for, or coming to the Public Safety Office in room L2.61. When an officer responds to conduct the key run, the requestor must present a current John Jay College ID card to the officer and sign the “key run” card.
Faculty and Staff:
Faculty and Staff can submit key requests or request a key run(s) to their own office only. An individual requesting a key run to an office space other than his/her own must obtain written authorization from the person the office space is assigned to or the Chairperson or Director of the Department.
The College’s key request and key run policy does not authorize students to request keys or be authorized to request key runs.
The only exception to the policy is Executive Members of the Student Council, which include the President, Vice-President, Secretary, or Treasurer. Keys are only issued after the electronic key request is input by the Center for Student Involvement and Leadership (CSIL). Also based on information provided by CSIL, Club executives will have their ID cards programmed for card reader access to their assigned office space.
Club and Student Council Executives can request key runs only to their individual assigned office space.
